Editable Wedding Seating Chart

The hard part of a seating chart is fitting a long guest list onto one poster so that every name stays readable. Here you paste the guest list into one box, table by table, and the chart picks the number of columns and the text size that fill the page, with every name the same size. The list can come straight from a spreadsheet or a note on your phone, and tables can have names such as "Head Table" or "Lavender" instead of numbers.

The same list gives you two layouts. By table is the classic grid. A to Z sorts every guest by last name or first name with their table number beside it, which helps people find themselves quickly at a big wedding. Each poster size comes tall or wide.

A 5x7 table card is made for every table on your list, in the same design, with your names and the date in small print under the table name. Choose one of four designs: Modern Minimal, with clean capitals and a thin frame; Black Board, with light lettering on black; Sage Greenery, with drawn eucalyptus in two corners; or Classic Black & White, with a script heading and a double frame with scrolls in the corners.

Give the print shop the poster PDF as it is and ask them to print at Actual size (100%). Matte poster paper photographs without glare, and foam board (3/16 in or 5 mm) keeps the chart flat on an easel. The Classic and Modern Minimal designs also print well as low-cost engineering prints; mount those on foam board, since the paper is thin. For the table cards, use matte card stock, keep the scale at 100% and trim along the crop marks. Any standard 5x7 frame or table card stand will hold them.
